Catalog of archives and collections of GIS
what public records They constitute the overwhelming volume of the material and the main responsibility of the General Archives of the State (GAS).

Public records are divided into the following categories:
a) actively, which include all documents, testimonies and documents used daily to process the current affairs of a service, organization or body and are kept at their place of production.
b) semiactive, which include all the documents, testimonies and documents, which, although they have ceased to be considered active, according to case a’, cannot undergo a liquidation because the retention time has not expired, according to the legislation that governs them. The GAS monitors the semi-active files in terms of their good observance by their production service.
c) inactive, which include all the presumptions, testimonies and documents the retention time of which has expired, according to the legislation that governs them, and no longer have official utility for their producer. The GAS must receive the inactive files from their production body, after the liquidation process and retain the right to further process them.
d) perpetual service utility, which include all documents, testimonies and documents which, regardless of their age, still remain active. After thirty years have passed since their production, the GAKs ensure that they receive digitized copies. The records of this category are compulsorily submitted to the GIS after sixty (60) years from the time of their production.
If the GAKs find, following a complaint or report, that the preservation of public records by the generating bodies They are faulty or that the public’s access to them is difficult, they may request the immediate deposit of the specific files in their services.
The records of the public services that are digitized or transferred to another material substrate, according to the development of the technology, are submitted to the GAS, under the responsibility of the liaison officer of par. 3 of article 193.
Public Archives
Public archives constitute the vast majority of archival material and represent the primary responsibility of the General State Archives (GSA).
According to the provisions of Law 4610/2019 (Article 161), public archives are defined as the archives produced by the highest state leadership, the Presidency of the Republic, the Prime Minister, Ministers, Deputy Ministers, the General Secretariat of the Government, the General Secretariat for the Coordination of Government Work, Ministries, Public Services, Judicial Authorities, Legal Entities under Public Law, Local Government Organizations, Legal Entities under Private Law, as well as other organizations and enterprises that fall within the public sector.
The same category also includes civil registries, notary offices, land registry offices, educational institutions, and institutions of the Greek diaspora.
Categories of Public Archives
a) Active
These include all records, testimonies and documents that are used daily for handling the current affairs of a service, organization or institution and are kept at their place of creation.
b) Semi-active
These include records, testimonies and documents that are no longer considered active but cannot yet be disposed of, since their legally defined retention period has not expired. The GSA monitors their proper maintenance by the producing service.
c) Inactive
These include all records, testimonies and documents whose retention period has expired according to the relevant legislation and which no longer serve an administrative purpose for their producing body. The GSA are required to receive them after the appraisal process and retain the right to further process them.
d) Of permanent administrative value
These include records, testimonies and documents which, regardless of age, remain active. After thirty years from their creation, the GSA ensure the receipt of digitized copies, while their deposit to the GSA becomes mandatory after sixty years.
Role of the GSA
If the GSA determine, following a complaint or report, that the preservation of public archives by their producing bodies is inadequate or that public access to them is difficult, they may request the immediate deposit of the specific archives to their services.
In addition, the archives of public services that are digitized or transferred to another material medium in accordance with technological developments are deposited to the GSA under the responsibility of the liaison officer referred to in paragraph 3 of Article 193.
CENTRAL SERVICE (K.Y.) of the G.A.K.
public records

They are imported into the GAS through donation, purchase, deposit, public shipping, official admission, etc. The majority of them contain private archives and collections, however in several cases public records are also found, which were acquired through purchase, donation, etc.
the Collection of Vlachogianni It is an important collection of K.Y. of the GAK which consists of file files, manuscripts, boxes with thematic content, printed and bibliographic sheets that come from the personal collection of the founder of the General Archives of the State, historian Yiannis Vlachogiannis (Catalogs 1) – f’).
the Collection of manuscripts of GAK consists of manuscripts of ecclesiastical, historical, legal and philological content, which extend from the 11th to the 19th century.
the Collection of engravings It includes maps, lithographs and albums, among which the map of Riga occupies an important place.
Substrate Material:
All records, public and private, can be imprinted on a wide range of substrates, such as loose documents, handwritten books, photos or even in electronic format.
what audiovisual files They constitute a special category, which includes photographs and photographic albums, tapes, audio cassettes and CDs (from purchases, donations or public shipments), while corresponding material is also found in other files and collections, information marked in the research tools.
According to the system followed in the GAS, each file is inserted into the archival data management system @archeommeni, is registered in the introduction book and is categorized as to its producer (special index number – A.E.E.).

REGIONAL SERVICES (P.Y.) of the G.A.K.

Within the Central Service (C.S.) of the General State Archives (GSA), the following are distinguished:
a) the major categories of archives from the 19th century, specifically those from the period of the War of Independence, the era of Ioannis Kapodistrias, King Otto, and King George I (with occasional chronological overlaps)
b) the archives of the 20th and 21st centuries, which originate from public services of both the Central Administration (central services of ministries, general secretariats) and decentralized administration (regions, prefectures, municipalities), as well as archives of judicial and notarial authorities.
Private Archives and Collections
The Small Collections K include private collections, personal archives, family archives, and mixed collections with diverse content, with the letter K referring to the word “box”.
They are introduced into the GSA through donation, purchase, deposit, public transfer, official submission, and other means. In most cases they contain private archives and collections; however, in several cases public archives are also encountered, acquired through purchase or donation.
Vlachogiannis Collection
An important collection of the Central Service of the GSA consisting of folders of documents, manuscripts, thematic boxes, printed material, and bibliographic cards from the personal collection of the founder of the GSA, the historian and researcher Giannis Vlachogiannis.
Manuscripts Collection
It consists of manuscripts of ecclesiastical, historical, legal and literary content, dating from the 11th to the 19th century.
Engravings Collection
It includes maps, lithographs and albums, among which a prominent place is held by the Map of Rigas (Charta of Rigas).
Material Format
All archives, both public and private, may be recorded on a wide range of media, such as loose documents, manuscript books, photographs, or in electronic form.
Audiovisual archives constitute a distinct category and include photographs and photographic albums, magnetic tapes, audio cassettes and CDs (acquired through purchases, donations or public transfers), while similar material can also be found in other archives and collections.
Archival Recording and Management
According to the system followed by the GSA, each archive is entered into the archival data management system @rcheiomnimon, registered in the Accession Register, and categorized according to its creator (Special Index Number – S.I.N.).
